PRIVACY POLICY – BIBLIOQUEST INTERNATIONAL

This statement sets out the privacy policy for BiblioQuest International and its web site www.biblioquest.com.au and addresses the following issues:

  • What personal information is collected from you both through our web site or any other means
  • Who is collecting the information
  • How the information is used
  • With whom the information may be shared
  • What choices are available to you regarding collection, use and distribution of the information
  • The kind of security procedures that are in place to protect the loss, misuse or alteration of information under BiblioQuest’s control
  • How you can correct any inaccuracies in the information.

1. Information Collection and Use

BiblioQuest International is the sole owner of the information collected on this site. We will not sell, share, or rent this information to others in ways contrary to that which is disclosed in this statement. BiblioQuest collects information from our users at several different points on our website and during the course of our customer relationship. The primary purpose in gathering that information and its subsequent use is to improve BiblioQuest’s customer service capability.

2. Registration

In order to use this website, a user must first complete a Search Request form. When completing that form, a user is required to give their contact information (such as name, location address and email address). This information is used to contact the user about the booksearch request and provide obligation-free quotations to supply books. We do require an authentic physical address be entered as this is used both for mailing of quotations and for calculating the cost of freight when formulating that quotation. It is optional for the user to provide demographic information (such as gender) and related marketing information (eg. How did you find out about our service?)

3. Ordering

We request information from the customer on our order form or over the telephone if you decide to purchase a book based on a quotation we have provided. Here a customer must provide contact information (like name and shipping address) and financial information (like credit card number, card holder name and expiration date). This information is used for billing purposes and to fill customer’s orders. If we have trouble processing an order, this contact information is used to get in touch with the customer.

4. Cookies

A cookie is a piece of data stored on the customer’s hard drive containing information about the customer. Usage of a cookie is in no way linked to any personally identifiable information while on our site. Once the customer closes their browser, the cookie simply terminates. For instance, by setting a cookie on our site, the user would not have to log in a password more than once, thereby saving time while on our site. If a user rejects the cookie, they may still use our site. The only drawback to this is that the user will be limited in some areas of our site

5. Log Files

We use IP addresses to analyze trends, administer the site, track user’s movement, and gather broad demographic information for aggregate use. IP addresses are not linked to personally identifiable information.

6. Sharing

We use a network of bookdealers to ship orders, and the National Australia Bank to bill customers for goods and services. Under commercial protocols they have implicitly agreed to observe, these bookdealers do not retain, share, store or use personally identifiable information for any secondary purposes. If you do receive an unsolicited communication from a bookdealer and have reason to believe it may be connected to a transaction you have made with BiblioQuest please contact us as soon as possible on by telephone 1800 067 877 or via email marketing@biblioquest.com.au

We may from time to time initiate an associate program with bookshops, publishers and web sites. When the customer signs up for these services, we may share names, or other contact information that is necessary for the third party to provide these services. These parties would not be allowed, however, to use personally identifiable information except for the purpose of providing these specific services.

7. Links

This web site may contain links to other sites. Please be aware that BiblioQuest is not responsible for the privacy practices of such other sites. We encourage our customers to be aware when they leave our site and to read the privacy statements of each and every web site that collects personally identifiable information. This privacy statement applies solely to information collected by this web site.

  1. Customer Communication

If a user wishes to subscribe to any newsletter or other communication program offered by BiblioQuest, we may ask for contact information such as name and email address.

9. Surveys & Competitions

From time-to-time our site requests information from customers via surveys or competitions. Participation in these surveys or contests is completely voluntary and the customer therefore has a choice whether or not to disclose this information. Information requested may include contact information (such as name and shipping address), and demographic information (such as postal code, age level etc.). Contact information will be used to notify the winners and award prizes. Survey information will be used for purposes of monitoring or improving the use and satisfaction of this site.

10. Customer Recommendation and Referral Activity

If a customer elects to use our referral service for informing a friend about our site, we ask them for the friend’s name and email address. BiblioQuest will automatically send the friend a one-time email inviting them to visit the site. We would collect this information for the sole purpose of sending this one-time email. The friend may contact us at marketing@biblioquest.com.au to request the removal of this information from our database.

11. Security

This website takes every reasonable precaution to protect our customers’ information. When customers submit sensitive information via the website, your information is protected both online and off-line.

All of our users’ information, not just the sensitive information mentioned above, is restricted in our offices. Customer information is only available to authorised operators and is password protected on our system. Our employees must also use password-protected screen-savers when they leave their desk. When they return, they must re-enter their password to re-gain access to your information. Only employees who need the information to perform a specific job (for example, our billing clerk or a customer service representative) are granted access to personally identifiable information. Furthermore, ALL employees are kept up-to-date on our security and privacy practices and each employee signs a confidentiality contract with BiblioQuest. Our employees are regularly notified and/or reminded about the importance we place on privacy, and what they can do to ensure our customers’ information is protected, as well as any time new policies are added. Finally, the servers that we store personally identifiable information on are kept in a secure environment equipped with an extensive electronic alarm system on 24 hour 7-day a week monitoring to protect against unauthorised access.

12. Supplementation of Information

In order for this website to properly fulfill its obligation to our customers, it is sometimes necessary for us to supplement the information we receive with information from 3rd party sources. Most notably, on credit card transactions that exceed our pre-approved limit or cheque transactions for larger amounts, it is part of our operating procedure to submit the relevant information to our financial service providers to assess credit worthiness.

13. Special Offers

We send all new customers a welcoming email or letter to verify contact details. BiblioQuest Private Client Subscribers will occasionally receive information on products, services, special deals, and a newsletter. Out of respect for the privacy of our users we present the option to not receive these types of communications. Please see our choice and opt-out below.

14. Site and Service Updates

We also send the user site and service announcement updates. Members are not able to un-subscribe from service announcements, which contain important information about the service. We communicate with the user to provide requested services and in regards to issues relating to their account via email or phone.

15. Correcting/Updating Personal Information:

If a customer’s personally identifiable information changes (such as your postcode), or if a user no longer desires our service, we will endeavor to provide a way to correct, update or remove that user’s personal data provided to us. 16. Choice/Opt-out

If a customer no longer desires to receive communication from BiblioQuest International, we will remove that customer from our mailing list. This removal can best be done by contacting us via telephone on 1800 067 877 or email bookfind@biblioquest.com.au

17. Notification of Changes

If we decide to change our privacy policy, we will post those changes on our Homepage so our customers are always aware of what information we collect, how we use it, and under circumstances, if any, we disclose it. If at any point we decide to use personally identifiable information in a manner different from that stated at the time it was collected, we will notify users by way of an email. Users will have a choice as to whether or not we use their information in this different manner. We will use information in accordance with the privacy policy under which the information was collected.
